This is an important administrative position in Village government involving supervision, direction, and the coordination of the activities of the Office of the Village Clerk/Treasurer, including the custody and maintenance of the official records and documents of the Village. The following is a list of the duties for the position.

Responsible for all fiscal activities of the Village

  • General Fund
  • Water Fund
  • Sewer Fund
  • Refuse Fund
  • Capital Funds
  • Trust & Agency Funds

Maintain accounting system as prescribed by the Office of the State Comptroller. Provide monthly reports to the Board of Trustees.

Knowledge of budget procedures, assisting the Budget Officer in the preparation of the Tentative Budget for the Board of Trustees. Working with a budget and knowing how it integrates with the daily fiscal operations.

Capital Projects – Keeping track of details including some knowledge of the construction business and how an engineering firm is involved.

General knowledge of legal requirements relating to different functions relating to fiscal matters and management matters of the operations of the Village.

Responsible for the supervision of the Billing Dept. which represents the receivables for the three utilities – Water, Refuse and Sewer.

Responsible for the supervision of office staff including all management of the office duties.

Assists in the preparation of and distributes agendas of the Board of Trustee’s Meeting s. Taking minutes at meetings, doing follow up and supervising the distribution and indexing of such minutes in the permanent log book. Prepares various newspaper notices relative to bids, public hearings, meeting, local laws, ordinances, tax collection and other matters.

Ability to take charge, make decisions, listen to public complaints, maintain honesty and credibility within the office and to project this image to the public. Work for and with all Board members regarding special committees and special projects and the willingness to work under a lot of time pressure.

Record Management Officer
Custody of all Village books, records and papers.

Freedom of Information Officer
All request for records, from any Village Department must flow through the Clerk/Treasurer’ s Office. Must have knowledge of the rules and regulations.

A thorough knowledge of the rules and regulations governing municipal procedures, practices and programs; thorough knowledge of department or agency administration and function, including practices used and equipment requirements; thorough knowledge of the common personnel procedures and practice, ability to communicate effectively with superiors, subordinates and the general public, both orally and in writing; ability to set and meet goals; well-organized resourceful; sound judgement; integrity; discretion; tact; courteous; and an excellent command of written language. Strong computer knowledge; word, excel and accounting software are necessary.
